Privacy Policy

This policy explains what information Kivo collects when you use our website and app, how we use it, and the choices you have.

Who this policy covers

This policy applies to the Kivo website and the Kivo pickleball app (“Kivo”, “we”, “us”). It covers everyone who visits our site or creates a Kivo account.

Information you provide

Account information. When you create an account we collect your name and email address, and we store your password only as a secure one-way hash — nobody at Kivo can read it. If an administrator creates an account for you, we store the same details and send you an invitation to set your own password.

Messages you send us. If you contact support, we keep your message and our reply so we can help you.

Game and activity information

As Kivo's game features become available, we will store the information you add while using them — for example games you create or join, who played, match results and the ratings or rankings calculated from them. Other players in a game can see the information needed to play it, such as your name and whether you are in the line-up.

Technical information

Like most websites, our servers automatically record technical details when you use Kivo: your IP address, browser and device type, pages requested, and the date and time. We also record the time and IP address of your last sign-in so you and our support team can spot unusual activity. We keep logs of emails we send you (such as verification codes and password resets) so we can investigate delivery problems — these logs record the recipient, subject and delivery status, not the message contents.

How we use information

  • To create and run your account, and to sign you in securely.
  • To send essential service email — email verification codes, password resets, account invitations and important notices about your account.
  • To operate, maintain and improve Kivo, including diagnosing faults and preventing abuse.
  • To keep Kivo secure, including detecting suspicious sign-in attempts and enforcing our Terms of Use.
  • To meet legal obligations where they apply.

We do not sell your personal information, and we do not use it for advertising.

Cookies and session technologies

Kivo uses a small number of essential cookies. A session cookie keeps you signed in, and a security token cookie protects forms against cross-site request forgery. If you choose “remember me”, we store a long-lived token so you stay signed in on that device. We do not use advertising or third-party tracking cookies. Blocking essential cookies will prevent you from signing in.

Service providers

We share information only with the providers we need to run Kivo — for example our hosting provider and the service that delivers our email. They may process your information only on our instructions. We may also disclose information if the law requires it, or to protect the rights and safety of our players and our service.

Security

Kivo is served over an encrypted HTTPS connection. Passwords are stored as one-way hashes, sensitive configuration such as mail credentials is encrypted at rest, and verification codes are stored hashed, expire quickly and can only be used once. No online service can promise perfect security, but we take these measures seriously and review them as Kivo grows.

How long we keep information

We keep your account information for as long as your account exists. Short-lived items are removed automatically — email verification codes expire within minutes, and password reset links expire within the hour. If you ask us to delete your account, we will remove or anonymise your personal information, except where we must keep records to meet legal obligations or to resolve disputes.

Your choices

You can ask us to review, correct or delete your information by writing to support@kivo.ph. Depending on where you live, you may also have the right to object to certain processing or to request a copy of your information. We will respond to reasonable requests.

Children

Kivo is not directed at children under 13, and we do not knowingly collect their personal information. If you believe a child has given us personal information, please contact us and we will delete it. Younger players should use Kivo through a parent or guardian's account where local law requires consent.

Changes to this policy

We may update this policy as Kivo develops. When we make a material change we will update the date at the top of this page and, where appropriate, tell you by email.
